RECOMMENDED ACTION(S)
1. Authorize the Purchasing Agent to increase Price Agreement N1000006770 with Cron &
Associates for transcription of audio/visual media by an amount not to exceed $33,000 per
year, for a new annual total not to exceed $68,000 for the first year of the contract (5/1/05
through 4/30/06).
2. Authorize the Purchasing Agent to increase the not-to-exceed limit by $33,000 per year for
the two additional one-year renewal periods, Price Agreement # N2000006770 (5/1/06
through 4/30/07) and # N3000006770 (5/1/07 through 4/30/08), for a new annual total of
$68,000.
3. Authorize the Purchasing Agent, without further Board action, to exercise a contingency
contract cost increase, not to exceed a total of 10 percent of the first year contract amount,
for the entire term of the contract, including renewals, and within the scope of work set forth
in the contract. The use of this contingency contract cost increase is subject to approval
requirements established by the Board of Supervisors pursuant to Minute Order dated
August 5, 2003, for Agenda Item 27 and County policies and procedures.
SUMMARY:
The Sheriff-Coroner requests authorization to increase Price Agreement N1000006770 with Cron & Associates for transcription of audio/visual media by $33,000 per year for a new annual total of $68,000, to allow for additional transcription services for the Sheriff's Investigations Division.
BACKGROUND INFORMATION:
The contract with Cron & Associates was approved by the Board on April 26, 2005 after a competitive bid process in which Cron & Associates was the only responsive, responsible bidder. The contract, used by the Sheriff's Investigations Division, provides for transcription of standard cassettes, micro cassettes, videotape recordings, and digital recordings, both in English and Spanish, and in other languages if a translator is provided by the County. The contract was originally approved in the amount of $35,000 per year. In the past year, the number of homicide cases investigated by the Sheriff's Department has increased significantly, resulting in the need for additional interviews to be transcribed. In addition, recently the District Attorney's office has requested an increase in the number of interviews to be transcribed for use in court proceedings. The proposed contract increase of $33,000 per year is required to allow for these additional transcription services.
