RECOMMENDED
ACTION(S):
Authorize the
County Procurement Officer or Deputized designee to execute contract with One
Diversified LLC for Diversified audio-visual technician support services
effective upon execution of all necessary signatures, for a term of three
calendar years, in an amount not to exceed $662,241.
SUMMARY:
Award of contract
to One Diversified LLC for Diversified audio-visual technician support services
will allow the County to address gaps that exist in the current technical
meeting support capabilities.
BACKGROUND
INFORMATION:
The County
Administration North (CAN), County Administration South (CAS), County
Conference Center (CCC), and Old County Courthouse conference rooms are
equipped with a diverse array of sophisticated broadcast production equipment and
technologies. These conference rooms
host recurring public meetings presented by County executives and elected
officials. Currently, the County relies
on a dedicated Science Applications International Corporation (SAIC) technician
for on-site audio-visual support and meeting troubleshooting. Unfortunately,
these meetings have encountered delays and cancellations due to SAIC’s lack of
expertise with County-specific broadcast equipment and conference room
technologies.
To mitigate these
issues, the County seeks to have a highly skilled on-site audio-visual
technician who can handle repairs and set up conference room technology before
and during meetings. By doing so, the
risk of meeting delays, relocations, or cancellations can be significantly
reduced. The current services provided by the SAIC technician will be
terminated upon approval of this proposed contract with One Diversified LLC.
One Diversified
LLC is uniquely qualified to fill this role.
They have actively participated in installing and supporting County
broadcast equipment and conference room technologies since 2021. Their extensive knowledge and expertise,
gained through past performance, provide valuable insights into the specific
conference room technologies deployed across the CAN, CAS, CCC, and Old County
Courthouse conference rooms.
The proposed
contract is a sole source contract. If this contract cannot be established with
One Diversified LLC, the County would need to accept gaps that exist in the
current meeting support capabilities, as it would be financially detrimental to
attempt to implement an alternate vendor.
The contract does not include
subcontractors. The Orange County Preference Policy is not applicable to this
contract award. In order to remediate ongoing conference room support issues,
this item is being submitted within 30 days of contract commencement.
FINANCIAL IMPACT:
Appropriations for
this contract are included in Budget Control 017's FY 2024-25 Budget and will
be included in the budgeting process for future fiscal years.
